Using Sharepoint

In this example, we will use it as a storage location for staff to share documents. Note that it is not limited to document files. You can upload any type of file, including Word, Excel, Photos, PDFs, etc. 

There is no desktop app included; it's web-based only. However, you can sync the files to Explorer to access them on your computer.

Using Edge, login to your account via https://login.microsoftonline.com/

Then, when you log in, on the left side, there is a series of 9 dots in the top left; click on that, then SharePoint.

Once you log in, you should see some sites already created for you.

If, for some reason, you do not see any sites, in the top search bar, type sites, then click on sites.

For this example, we will click on The Test Dept.

When you click on that, you will be brought to the Landing Page for that site. Here, you can add more information if you wish. Some companies might use these to share information or help onboarding new staff. 

For this example, we are going to focus on sharing files. We want to click on Documents. 

Once you're there, you will see a fundamental file manager.  This is where you can start uploading files, creating directories, etc.

If you click on + New, you will see a Drop down window where you can create some Documents and a new folder if you need to organize everything.

You can drag and drop files from here and start using this immediately. 

 

Sync this folder to my Computer.

Before you go any further, you must ensure you're logged into OneDrive. 

Look in the bottom right corner of your screen near the time and look for a Blue Cloud icon, the OneDrive Icon.

 

Click on the OneDrive icon to ensure it shows OneDrive - Your Company Name at the top. If you do have that, you can move onto the next steps. You must log in using your Microsoft Email account if it does not show that.

If you want to sync this to your computer, you do not have to come back here when you want to add/view files, etc. You can sync this, and it will appear in your File Explorer. 

To do this, the only thing you need to do is click on where it says Sync.

When you click that, a new box will appear asking for permission.

Click on the box beside "Always allow." The URL for your company will change afterward. Then click on Open Link.

Once you do that, it will start syncing via OneDrive and then add it to the File Explorer. 

Look for the File Explorer in your TaskBar

If it does not show there. Click on start, then type Explorer

Once you do that, you should see a folder with your company name, and then once you click on that, you should see the Test Dept.

Then, you'll see the Document file that was created earlier. You can drag or drop files or folders into this, and it will Sync to the cloud. Then, anyone else who has access to this will be able to see them.

Always Sync.

You might want to always sync the files when someone adds files to your computer. If you do not do this, you will need to download the files first before you can view them. This would be the easiest way to do this, and then you would never have to worry about this. To enable this, just right-click on the folder The Test Dept—Documents, then left-click on Always keep on this device. 

You won't see anything happen other than the file status will change from a cloud icon to a check icon.

Upload from your mobile device.

If you're taking photos or videos from your phone, you can upload them with the OneDrive App. Go to the Apple Store on Apple or the Play Store on your Android Device.

 

Install it, then log into the App with your Microsoft Login Details.

When you log in, you should see something similar to this.

Again, in this example, we are using "The Test Dept"; we will tap on that. You will need to tap on the one you need to access.

Then, once you tap on your site, you will be presented with the Documents folder.

Tap on Documents, 

Then you should see your files. From here, you can add files create directories, etc.

In the top-right corner, click on the +. Then a new window will show.

If you want to upload photos, click on Upload

Then, browse your phone to upload a photo or video.

Find the photo you want to upload, then tap on it. To upload multiple photos, tap and hold on the first one, then tap the others, and then click on Select at the top right corner. 

Then, you'll see your photos have been uploaded.

To refresh, press and hold in the white area, then drag down and hold for a few seconds, then release. You'll see the refresh icon on your screen. 

Then you're done.
