Teams - Voicemail

Your voicemail will not be hosted on the phone system. It will be handled by Microsoft Teams.

To make any changes to your voicemail, open up teams, then to the left of your initials, click on the 3 dots. Then click on Settings.

On the next window, click on Calls

Here you'll be able to manage your Answering Rules, Ringtones, Voicemail, and Accessibility(TTY).

Before you change your voicemail recording you will want to make sure that calls go to your voicemail.

Call answering rules. Here you can say after 20 seconds if unanswered go to voicemail. You also have the option to forward the call to someone else or to call your mobile number. Please make sure you change this option before moving to the recording portion of your voicemail.

Note that 20 seconds is roughly 4 rings. Each ring is roughly 5 seconds.

By default, the system will pronounce your name in the voicemail. Example. John Smith is unavailable, please leave your name number and a brief message.

To change your recording, click on Configure Voicemail.

 

In the next window, you'll have different options that you can change.

 

The first option is to Record a greeting: This will use your voice to record a greeting. The system will call you to do the recording.

You have some options for your Call Answer Rules. Default is: Let the caller record a message. Standard option. Leave a message then send you an email with a copy of that voicemail, with transcription.

 

The second option is to use Text-to-Speech customised greeting option.

Where the two arrows are. You have fields to type text and the system will do the recording for you.

For your out-of-office greeting, you have the options to match with your out-of-office rules from Outlook.

The green box will be a copy of the audio mp3 file.

The red box will be a speech-to-text translation.
