Modifying Templates for Phones

You might have templates in place that you wish to update/change. To jump down on how to force the template resync Click Here.

 

To do this you'll need to login into the portal. After you log in you're going to want to go under Inventory

 

Once under Inventory go to Phone Hardware

 

Then you'll see a button called Button Builder. Click on the down arrow to the right, and a new menu will come up that will say, Manage configuration templates.

Click on that and another new window will appear where you'll see all your templates

Click on the one you wish to Edit, in this example we are going to edit the Reception Template.

Click on Reception, then click on the Edit button at the bottom. After you click on Edit please allow it to load the template.

Once you're in you'll be able to see the model of the phone and some of the buttons you can edit. For this case we want to change the side car button.

Click where it says Sidecar1 on the right hand side.

Once you're in the menu to edit the side card you can click on the button from the image on the left and edit each button one at a time. There is no way to mass change and/or automatically auto-update based on users. This is a manual process.

 

The options for each button are the following.

 

BLF = Busy Lamp Field. BLF is used to show the status of an extension. If the user is on a call, the button will change red, when they are free, it will change to green. This button can also be used as a speed dial button internally.

Call Park = Parking Calls - Call Park is used when you place a call on Park for someone else to pick up. Example Steve call for you on line 701. Steve will then dial 701 and pick up the parked call from anywhere in the office

Speed Dial = Internal or External Speed Dial numbers

DTMF is used for Door Access. Sometimes you have a garage door or entry door that requires you to allow people into the building. This button will send the open function to the device in question. ***If Key2 did not set up any type of door access this button will never be used.

Queue Toggle = If you have a Call Queue you can login/logout from the queue

Timeframe Toggle = For day/night mode

 

After you have made your changes, you must click on Save on the bottom right of the screen.

 

After you click on Save, it should apply it to the phones that have the Reception Template assigned to them. ***Note if the user is on the phone it will not update the phone. No user can be on the phone when you want to send an update to the phone. It will wait until the users are off then send the update.

If it does not update automatically there is a way to force the update.

To force the update go under Inventory then Phone Hardware as shown above.

Search for the extension you wish to force the update to. ***As stated above, if the user is on the phone you must wait for them to be off the phone to push an update/change to the phone.

Once you have found the extension you wish to force the update to once they are off the phone, click on the gear button icon. This is the button builder icon.

Once the page loads, click on Templates, select the template, then hit Apply Template

Then go down to the bottom of the page. Click on the up arrow beside save, then click on Save and resync.

***Note if someone is on the phone, it will not update right away. If no one is on the phone, it will update the template and reboot the phone. During this time, the phone will not be usable. It will take roughly 2-3mins for the phone to come back on and apply the update.
