Microsoft Authenticator Setup Guide

To help keep your account secure, we require Multi-Factor Authentication (MFA) using the Microsoft Authenticator app.

This guide will walk you through setting up Microsoft Authenticator on your mobile device.


Step 1: Download the Microsoft Authenticator App

On your mobile phone, download the Microsoft Authenticator app:

  • iPhone (Apple App Store)
  • Android (Google Play Store)

Search for Microsoft Authenticator and install the app.


Step 2: Open the App

Open the Microsoft Authenticator app on your phone.

If prompted:

  • Allow Notifications
  • Allow Camera Access

Both are required for setup and approval notifications.


Step 3: Begin Sign-In Setup

On your computer, sign in to your Microsoft 365 account as instructed.

During sign-in, you will be prompted to set up additional security verification.

Select:

Microsoft Authenticator

Then click Next.


Step 4: Display the QR Code

Continue clicking Next until a QR code appears on your computer screen.

Do not close this window.

You will use your phone to scan this code.


Step 5: Add Your Account in the App

In the Microsoft Authenticator app:

  1. Tap the + (plus) icon
  2. Select Work or school account
  3. Choose Scan a QR code

Your phone camera will open.


Step 6: Scan the QR Code

Use your phone to scan the QR code displayed on your computer screen.

Once scanned, your Microsoft 365 account will be added to the app automatically.


Step 7: Complete Verification

Back on your computer, click Next.

Microsoft will send a test notification to your phone.

On your phone:

  1. Open the notification
  2. Tap Approve

This confirms the setup is working correctly.


Step 8: Finish Setup

Once approved, your setup is complete.

Click Done on your computer.

You can now securely sign in using Microsoft Authenticator.


Troubleshooting Tips

Camera Not Working?

You may see an option to enter a setup code manually instead of scanning the QR code.

Not Receiving Notifications?

Make sure:

  • Notifications are enabled for Microsoft Authenticator
  • Your phone has internet access (Wi-Fi or mobile data)

New Phone?

If you change phones in the future, your Authenticator app may need to be reconfigured.
