📞 How to Create or Change Phone Buttons Using the Phone System
Updating phone buttons is quick and easy using the Phone System dashboard. While changes can be made directly on the physical phone, it’s much faster (about 30 seconds) to do it through the Phone System interface.
🔐 Step 1: Log In to the Phone System
You’ll need:

The IP address of your phone system

Your username and password (provided by Key 2 Communications)
📱 Step 2: Find the Device

Once logged in, hover over Accounts and click Devices.

Wait for the page to load and locate the device/extension you want to update.

In the Label column, look for the user’s extension.

Click the MAC address (e.g.,
24-9a-d8-22-03-B7
) for the phone you want to update.
🎛️ Step 3: Understand the Interface

The Red Box contains button settings for the main phone (typically used for reception/front desk).

The Green Box contains button settings for the expansion/side card (if available).
Click in the Category field to reveal two options:

Line → Phone buttons (on the handset itself)

Expansion → Side card buttons
🔢 Button Layouts

Side Cards:

Laid out left to right, then down.
-
Page 1: Buttons 1–20, Page 2: 21–40, Page 3: 41–60.

Phones with buttons on both sides of the screen:

Button 1 starts at the top left, goes to 5, then continues on the right side as buttons 6–10.

Phones with buttons only on the right:
-
Button 1 starts at the top and continues down (1, 2, 3, etc.).

🔧 Button Types
There are two types of buttons you’ll typically use:
Type | Description |
---|---|
BLF (Busy Lamp Field) | Shows the status of internal extensions (available/busy). Also acts as a speed dial. Can be used for call flow status. For internal use only. |
Speed Dial | Dials any number (internal or external). No status indicator. |
📝 Programming Buttons
When adding a new button:
Field | Description |

Category | Choose Line (phone) or Expansion (side card) |
Key | Button number (e.g., 1, 2, 3...) |
Yealink | Button type: BLF or Speed Dial |
Line | Always enter 1 |
Value | Phone number or extension |
Label | Friendly name (e.g., Jim Cell, Front Desk, Taxi) |
⚠️ You can only add 3 buttons at a time, but once you’re familiar, it goes quickly.
💾 Step 4: Save & Provision

When done entering buttons, click Save (top right corner).

Double-check all details — make sure there are no duplicates or incorrect numbers.

Click Provision to send the configuration to the phone.
💡 Provisioning Tip:
If the user is on the phone, the system will retry after ~30 seconds. If they're still on a call, it will not apply changes. You’ll need to retry once the line is free.
